URLs and Images: Real Reason for Email Blocking?

Your sender reputation and email content are two major factors that determine the destination of your email. A bad sender reputation alone can cause your messages being filtered as spam. But the email content is another big challenge for email marketers.

Inactive Subscribers: Always Purge or Always Retain?

In these tough times when email marketers try to make more sales with less expense the question of what to do with inactive subscribers is as vital as never before. Whatever method of collecting email addresses you use (opt-in form, customer database, affiliate programs, offline way, etc.), your list will contain a portion of recipients that can be classified as inactive – those who did not act upon your messages during a given period of time, for example, during six last months.

6 Tips for Writing Better “Subject” Lines

Like the From field the Subject line is one of the most important components of a successful newsletter sending campaign. Together with the From line, the Subject line determines whether the recipient will open an email, delete it immediately, save file it for future reading, or report and/or filter it as spam. Plus, many anti-spam filters use the Subject lines to separate good emails from spam. So, because of a poorly written Subject the email may not even reach the recipient’s inbox in the first place.

Below are the tips to write Subject lines that produce higher open and click-through rates:

Don’t Use the Word “Free” in the Message

This statement is taken for the rule by many email marketers. Despite of a magic power of this word that prompts the recipient to immediately act on your email, it’s generally believed that "free" is a pure spam word. Yes, there is a truth behind this. Every other spam message contains the word "free". But what is the most important is the environment this word is used in, i.e. the whole phrase with the word "free" matters.

Let’s look how two popular spam content filters – Spam Assassin and MS Outlook 2000 – work and handle your emails.

Spam Assassin, one of the main “test” spam filters, assigns points – positive and negative – to the message content and HTML code. Positive points mean potential spam, negative points mean the message content and code are not generally used by spammers. The score is calculated and if it exceeds a certain level, the message is filtered as spam. It’s about the Spam Assassin user to determine the level at which emails are filtered. It is generally believed that most companies/ISPs use a total score of around 10, but that some may go as low as 4.

In the Spam Assassin the phrases with the word "free" do get fairly high scores – 1 and higher. But the phrases commonly used in legitimate emails such as “free report”, "free download", "free upgrade", “free e-book” and “free newsletter” are not affected.

Unlike the Spam Assassin, MS Outlook 2000 Junk E-mail Filter uses a pass/fail method. It looks for “junk and adult” content in the message and directs suspicious messages to the Outlook’s Deleted Items folder. The common things that trigger the filter are the use of an exclamation point and the word "free" in the message Subject line.

The bottom line: Use the word "free" in your email newsletters wisely and test, test and test your message before sending it to the whole list.

How HTML Code Affects Anti-Spam Filters

It is believed that an email gets filtered because it contains any of spam trigger words or phrases or because the sender is unknown to the recipient. This is not always true.  Of course, certain words and phrases may cause a message being filtered but ISPs may also block your legitimate email for reasons you may not be thinking of, for example a HTML code.

You know some ISPs rely on the message HTML code to determine whether the email is legitimate or spam. For instance, the emails with an outdated or incorrect code end up in bulk or junk mail folders when sent to such domains as MSN/Hotmail and AOL. Why do some ISPs validate HTML code? Because of spammers, of course. Using wrong HTML syntax spammers try to fool standard content filters.

You may think that everything is OK with your HTML code if the message renders correctly and looks just fine to you. Not always! Each ISP handles email differently, and the messages that get past the filters at one destination may be filtered or entirely blocked at another.

Here are some particularities of a HTML code that can trigger anti-spam filters:

How to Adjust Anti-Spam Filters with Most Known ISPs

We have received numerous complaints from G-Lock EasyMail customers experiencing difficulties delivering the emails to their clients and to their test email accounts. The problem is that the emails are shown as sent in G-Lock EasyMail but the end user never receives them. This is because of spam filters in most cases.

Here we’d like to share with you some tips about how you or your recipients can adjust the spam filters in order to receive the emails. If you are using a third party spam filtering application like SpamGuard, you will not be able to receive the emails until you manually add the sender’s email address and/or the domain name to your list of accepted email addresses.

If you are NOT using a SpamGuard program and do not receive the emails it is because spam filters are enabled on your email account internally. Many companies do this "behind the scenes" so you may not even be aware of the fact that some of your emails are being filtered or even deleted! Internet Service Providers (ISPs) boast that they can eliminate unwanted mail from your inbox. Unfortunately they also eliminate much *wanted* messages as well.

You will need to adjust your spam filters so that you can receive the emails. In this cahpter we’ll give the instructions for a few of the different mail service providers. If your company is not listed, contact your ISP directly or consult their help files for instructions on how to adjust the mail filters on your account.

Managing Email Bounces with G-Lock EasyMail

We know how hard and time-consuming the work with bouncebacks and "unsubscribe" messages can be. That’s why we’ve incorporated the Bounced Manager module into G-Lock EasyMail.  Here is a quick overview how it works.

With G-Lock EasyMail you can direct all bounced emails to a separate email account so you can easily manage them at a later time. You simply enter an email address destined to collect bouncebacks, for instance bounced@yourdomain.com, into "Return E-mail Address" field when you fill the account in, and you will receive the bouncebacks to that address.

Some time later after your email newsletter is sent out to your subscribers, you start the Bounced Manager module from G-Lock EasyMail. The Bounced Manager provides you with the most accurate bounce detection solution. It downloads your bounces, classifies them, and helps you remove bad email addresses from your email lists.

You’ll see bounced messages in the middle pane as far as the Bounced Manager will be retrieving them. The Bounced Manager recognizes the following types of bounced messages:
