Tailoring “From” and “Subject” Lines for Email Clients

So you got a great email message design, wrote a perfect Subject line, added your company name to the From field and you think you’re ready to send the email out. Wait a minute. You work may not be over yet. You probably will need to spend some time for optimizing your From and Subject lines. What does it mean and why is optimizing the From and Subject lines so important?

You know different email clients render the From and Subject lines in different ways. This is one of the challenges of distributing email newsletters.

Some email clients limit the quantity of characters if the From and/or Subject lines. So, if your Subject is too long, it will be cut off and may be unreadable for the recipient. In some email programs the From and Subject lines are interrelated – the longer the From field, the shorter the Subject line is allowed. The From field can be displayed either as Name + Email Address, or Name, or Email Address in different email programs.

It’s good if you know what email clients your recipients use to view your emails. You can then tailor your "From" and especially "Subject" lines to display properly for all the recipients. If you don’t have the information about your recipients’ email programs, try to optimize your message at least for the most common email clients listed in the table below.

How to Adjust Anti-Spam Filters with Most Known ISPs

We have received numerous complaints from G-Lock EasyMail customers experiencing difficulties delivering the emails to their clients and to their test email accounts. The problem is that the emails are shown as sent in G-Lock EasyMail but the end user never receives them. This is because of spam filters in most cases.

Here we’d like to share with you some tips about how you or your recipients can adjust the spam filters in order to receive the emails. If you are using a third party spam filtering application like SpamGuard, you will not be able to receive the emails until you manually add the sender’s email address and/or the domain name to your list of accepted email addresses.

If you are NOT using a SpamGuard program and do not receive the emails it is because spam filters are enabled on your email account internally. Many companies do this "behind the scenes" so you may not even be aware of the fact that some of your emails are being filtered or even deleted! Internet Service Providers (ISPs) boast that they can eliminate unwanted mail from your inbox. Unfortunately they also eliminate much *wanted* messages as well.

You will need to adjust your spam filters so that you can receive the emails. In this cahpter we’ll give the instructions for a few of the different mail service providers. If your company is not listed, contact your ISP directly or consult their help files for instructions on how to adjust the mail filters on your account.

I am an AOL User and I Can’t Receive Emails

If the email messages are being mistaken by AOL as unsolicited commercial email, and are therefore being blocked, you will need to edit your personal spam settings.

Edit Your Spam Settings

You can edit your spam settings a number of ways. You can allow email from all senders, restrict senders to a list that you design, block certain domains… even turn AOL’s mail filtering off altogether! We suggest familiarizing yourself with AOL’s mail filtering system and make the best choices for you.

If your mail controls are set to use a custom filter list, you will need to add the sender’s domain (for example, glocksoft.com) to your list of accepted domains.

If your mail controls are set to only accept from "people you know", you will need to add the sender’s email address (for example, noreply@glocksoft.com) to your address book.

Ensure AOL Doesn’t Delete Your Mail

AOL is now either filtering email they consider to be spam into a "Spam Folder" or deleting it completely. Ensure that AOL doesn’t delete your mail by following these instructions:

Double Opt-In vs. Single Opt-In

A single opt-in method is one when users must take some action to subscribe. Typically, this involves filling out an opt-in form on a website. Thus, people consciously add themselves to your list. The downside of the opt-in method is that third party persons can (and they do) subscribe others to your list.

To protect people and yourself from such malicious subscriptions, setup your signup process in the way that the subscribers receive a confirmation email as soon as they were added to the list.

A confirmation email will allow them unsubscribe immediately if there was a mistake. They can unsubscribe by replying or clicking on a link within the email, for example like this one:
